Razom is seeking an Operations Administration Manager to support the day-to-day functioning of our U.S. operations, with a special focus on office management, compliance, insurance, and internal systems.
This role is ideal for someone who is highly organized, assertive, and eager to take ownership of essential, cross-cutting tasks that support the health of the organization. The right candidate has a roll-up-your-sleeves attitude, is a natural problem-solver, and thrives in a collaborative, fast-paced nonprofit environment.
This position is based in our Flatiron/Chelsea office in NYC (4–5 days/week), with occasional visits to our East Village location.
Chief of Staff
• Support the Chief of Staff in tracking and advancing CEO and tasks
• Help ensure follow-through on CEO fundraising-related tasks, board communications, and special donor touches
• Manage logistics for high-priority meetings, including scheduling, preparing materials, capturing action items, and tracking follow-up tasks to completion
• Assist with scheduling meetings and drafting emails for leadership, as needed
• Lead coordination for internal team gatherings (i.e. Board Meetings, strategy sessions, office lunches, team retreats, etc.) and volunteer events in NYC
• Support coordination of leadership travel to and from Ukraine, including transit and lodging (Ukrainian language proficiency strong preferred)
• Manage day-to-day functioning of Razom’s Flatiron and East Village offices, including office supplies, food and beverage, visitors, and repairs, etc.
• Oversee vendor relationships, mail/deliveries, and liaise with building management
• Perform receptionist duties during agreed-upon hours. Greet visitors, and answer direct phone calls.
• Support onboarding logistics for new team members in NYC, including workspace setup, culture orientation, and equipment.
• Recommend solutions to enhance office culture as needed
• Support office construction and space planning projects
• Assist in developing office policies and ensure office policies and procedures are understood and are implemented appropriately.
• Monitor office operations budget, track vendor expenses, and negotiate purchasing orders with cost-effectiveness in mind.
• Maintain all U.S. insurance policies (workers comp, general liability, event insurance, etc.)
• Track and renew nonprofit registrations and ensure ongoing compliance in all U.S. states where we operate
• Serve as the internal owner of compliance-related documentation and reminders, including deadlines for mandatory trainings and internal policy acknowledgements
• Maintain records of all team platforms and IT tools (Slack, Google Workspace, Zoom, Dropbox, etc.)
• Set up user accounts and manage access for new hires and offboarding
• Partner with IT consultants for troubleshooting and system improvements
• Identify solutions to technical needs and pain points as needed
• Track and maintain key internal documentation, directories, and knowledge management tools, and share with team members upon request.
• Serve as a resource for cross-team needs, one-off logistics, or new internal initiatives
• Jump in where needed to keep people, spaces, and systems running effectively
• 4-7 years experience in nonprofit operations, executive assistance, or administrative roles
• Highly organized, punctual, proactive, and solutions-oriented
• Comfortable managing sensitive information with discretion
• Comfortable taking initiative and driving tasks forward with minimal oversight, including coordinating across levels of leadership
• Strong written communicator, especially in summarizing next steps and priorities
• Familiar with tools like Google Suite, Slack, Dropbox, Asana, and Zoom
• Ukrainian language proficiency is a plus
• Authorized to work in the U.S.
