About the Role
Razom is looking for an Office Operations Manager to join our People Team. In this vital role, you’ll be responsible for ensuring the smooth and efficient day-to-day operations of our Washington D.C. office. You’ll play a key part in creating a welcoming and productive environment, while also collaborating with our global People Team to foster a cohesive and inclusive culture across all Razom locations. We’re looking for a highly organized, proactive, and resourceful individual with excellent communication, interpersonal, and problem-solving skills. You’ll manage a diverse range of duties, including office administration, human resources support, event planning, travel logistics, and general team support.

Key Responsibilities
Office Operations & Management
• Oversee daily office operations for our D.C. space, managing supplies, coordinating with vendors, and handling general maintenance. You’ll be the go-to for facility needs, working closely with our landlord.
• Be a gracious host for everyone who steps into our D.C. office – from coworkers and delegations to interview candidates, volunteers, and interns. Your goal is to ensure a positive, seamless experience that reflects Razom’s global culture and values.
• Handle all incoming and outgoing mail and deliveries, from sorting to coordinating shipments.
• Lead office security, managing access control and alarm systems to keep our workplace safe.
• Partner with our CTO to ensure all hardware and software needs for the office and our team are met.
• Maintain a well-appointed and inviting kitchen space, making sure there’s always fresh coffee brewed and a thoughtful assortment of snacks to enhance the daily office experience.
• Manage all aspects of office aesthetics and functionality, from initial layout design and decor choices to ordering and arranging furniture. Lead strategic office space planning and optimization, assessing current utilization, anticipating future needs, and managing reconfigurations or expansions.
People & Culture
• Coordinate onboarding and offboarding, supporting employees, volunteers, and interns from day one. This includes setting up workspaces, managing IT access, handling necessary forms (such as I-9), giving office tours, and preparing welcome kits.
• Cultivate a vibrant, inclusive workplace, organizing celebrations for birthdays and work anniversaries, and planning team-building activities to boost engagement and connection.
• Serve as the primary contact for office-related employee questions and concerns, staying attuned to the D.C. team’s needs and escalating priorities when necessary.
• Maintain essential office-wide calendars, tracking birthdays, room reservations, and weekly meetings.
• Help manage our summer intern program, identifying needs and ensuring interns have meaningful work and a great experience.
Events
• Plan and support execution of Razom DC events, from internal gatherings like team retreats and holiday parties to external facing program events. This includes managing catering, venues, and invoicing.
Administrative & Compliance Oversight
• Manage all office administrative functions, including necessary permits and registrations, processing invoices, paying bills, and tracking expenses for budgeting. You’ll also ensure all office equipment purchases are properly documented.
• Maintain and track all compliance-related documents and internal policies, keeping an organized administrative folder for important records.
Special Projects & Support
• Support cross-functional projects and be ready to jump in for ad hoc operational needs.
Qualifications & Skills
• 4–6 years experience in office management, human resources, operations, or nonprofit environment
• Highly organized, proactive, and detail-oriented
• Strong communication and interpersonal skills
• Comfortable managing sensitive information with discretion
• Familiarity with Google Suite, Slack, Zoom, Asana, and similar tools
• Ukrainian language proficiency is a strong plus
• Authorized to work in the U.S.
