OVERVIEW OF ROLE

The Office Manager & Executive Assistant is a critical member of a dynamic global team. The ideal candidate will have a proven track record of success in solving problems in a fast-paced environment. Responsibilities include supporting the CEO and executive team with administrative work, and general office management.

We are looking for a detail-oriented person, a quick learner who brings creativity and energy to help solve problems, collaborate on projects, and propose new solutions. A deep passion for the organization’s mission is a must!

RESPONSIBILITIES


Time and Task Management


●  Provide administrative assistance, such as sorting communications by level of priority and reviewing, writing, and editing e-mails.

●  Organize meetings, including scheduling, sending reminders, and setting up/ running Zoom calls/presentations.

●  Sit in on high-level meetings and maintain comprehensive and accurate records of meetings (minutes) while maintaining a high level of confidentiality.

●  Answer phone calls, emails, and other communications in a timely and professional manner.

●  Operate as a seamless integrated global team with colleagues in North America and Europe.
●  Provide executive team administrative support as necessary, including scheduling meetings, maintaining calendars, arranging travel, conducting research, and creating reports.

●  Other duties as relevant to administrative functioning as assigned.


Office Management

●  Oversee and support all administrative duties in the office to ensure the office in NYC operates smoothly.

●  Purchase office supplies as needed; oversee office equipment and repairs as necessary.

●  Serve as a liaison with building management.

●  Ensure office space is organized and neat.

●  Assist with office layout planning and office moves:

○  Lead a project to understand the needs and preferences of the team; share feedback and recommendations; help shape priorities

○  Serve as the key point of contact for Razom for office moves, construction, and redesign of office space in New York City.

●  Perform receptionist duties during agreed-upon hours. Greet visitors, and answer direct phone calls.

●  Receive and sort mail/deliveries.

●  Assist in developing office policies and ensure office policies and procedures are understood and are implemented appropriately.

●  Manage relationships with outside vendors (including price negotiations)

●  Maintain office calendar, schedule staff meetings, and coordinate miscellaneous office events.

●  Assist with internal and external events hosted by Razom, including coordinating with the implementing team and assisting with logistics and tasks.

 

QUALIFICATIONs & EXPERIENCE


● Bachelor’s degree required with at least five (5) years of work experience, three to five of which have been in supporting C-Level Executives, preferably in a nonprofit organization.
● Three to five years of experience as an office manager or similar.
● Strong organizational skills that reflect the ability to perform and
prioritize multiple tasks and be adaptable to competing demands.
● Excellent attention to detail.
● Strong interpersonal skills and the ability to build relationships with
global staff, Board members, external partners, and donors.
● Expert-level written and verbal communication skills.
● Demonstrated proactive approach to problem-solving with strong
decision-making capability.
● A forward-looking thinker who actively seeks opportunities and
proposes solutions.
● Highly resourceful, with the ability to work independently and
effectively.
● Proven ability to handle confidential information with discretion.
● Demonstrated ability to achieve high-performance goals and meet
deadlines in a fast paced environment.
● Experience with Google Suite, Slack, Dropbox, Microsoft Word, Excel,
and Outlook. Proficiency with mail merges and calendaring required.
Familiarity with Google Workspace is a plus.
● Comfort in maintaining technical systems.
● Fluency in Ukrainian and English language as well as knowledge of
Ukrainian audiences are required.

SALARY RANGE

 

$50,000-$72,000


Final salary based on experience and qualifications as well as finalized scope of work.
