The Role
Razom was founded in 2014 in the aftermath of Ukraine’s Revolution of Dignity. Since then, we have benefitted from the contributions of hundreds of individuals from diverse backgrounds and walks of life. We maintain a relentless focus on the needs on the ground to support Ukraine and on opportunities to amplify Ukrainian voices in conversations in the United States. We operate in Ukraine as Razom Dlia Ukraini (Разом Для України) and we collaborate with organizations and individuals so that we can deliver the highest impact.
Razom’s mission is to help build a democratic and prosperous Ukraine. Razom means “together” in Ukrainian and serves as a constant reminder of the community that it takes to create, build and do. Razom creates spaces where people meet, partner and work together to unlock the potential of Ukraine.
Razom Advocacy is a branch of Razom for Ukraine committed to advancing policy for Ukrainian victory, and to nurturing community engagement across the United States and Ukraine. We work together with experts, policy-makers, and constituents to help build a more democratic and prosperous Ukraine.
REPORTS TO
Advocacy Program Director, Razom
RESPONSIBILITIES
While this new team member will be responsible for critical routine administrative tasks, the ideal candidate will also bring their own creativity and energy to help solve problems, collaborate on projects, and propose new solutions
Oversee and support all administrative duties for Razom Advocacy and ensure that the office and team are operating smoothly.
Manage office supplies, replenishing them as needed, and handle bills and other financial records for the team
Manage relationships with outside vendors (including price negotiations) for service contracts, events, and other advocacy-related projects
Assist with internal and external events hosted by Razom in DC, including coordinating with implementing team and assisting with preparatory and day-of logistics and tasks including:
Booking in-house and external event venue
Coordinating with staff and volunteers
Sourcing & managing third-party vendors as needed
Reviewing and approving BEOs
Run-of-show, floorplans, and other logistics-related tasks
Ensuring all events run smoothly
Take minutes for program meetings, managing team records
Provide administrative support for the Advocacy team, including scheduling meetings, maintaining calendars, arranging travel, doing research, and creating reports.
Perform receptionist duties: greet visitors, answer and direct phone calls and emails, draft emails and other correspondence.
Receive and sort incoming mail/deliveries and manage outgoing mail.
Maintain team calendar, schedule staff meetings, and coordinate miscellaneous team events
Other duties as relevant to administrative functioning as assigned
QUALIFICATIONS & EXPERIENCE
Bachelor’s degree in a relevant field
4+ years of professional experience in management or administration
Strong attention to detail and organizational skills
High level of initiative, excellent problem solving and critical thinking skills
Proficiency of Ukrainian language and knowledge of Ukrainian and Ukrainian-American audiences are a strong plus.
A positive attitude and the ability to work effectively with all different types of people
Comfort in maintaining technical systems
Strong English-language written and verbal communication skills
Goal-oriented and highly organized self-starter who maintains high standards for their own work and the work of others
Strong collaborator who works well independently or on team projects
Experience with Microsoft Word, Excel and Google Workspace. Proficiency with mail merges and calendaring required
Must demonstrate ability to manage multiple tasks and meet deadlines
Excellent time-management and prioritization skills.
Ability to work independently under pressure in a fast-paced work environment with changing priorities.

SALARY RANGE
$45,000-$60,000
Final salary and job title will be based on experience and qualifications as well as finalized scope of work.
